Within the agreed cleanup period, I investigate and correct historical errors, reconcile accounts, address missing, duplicated, or misclassified transactions, and correct inaccurate customer, vendor, loan, asset, liability, and equity balances. The goal is for the books to reflect what actually happened in the business and provide a reliable foundation moving forward.

QuickBooks Online cleanup looks backward and corrects existing problems. Ongoing bookkeeping keeps accurate books current by recording transactions and reconciling accounts regularly. Process & Getting Started

The process moves through four stages.
We start with Meet & Talk, a conversation about your business, your books, and what prompted you to look for help. I will also confirm whether Books Prep is the right fit for your situation.
Next is Review & Assess. You provide QuickBooks Online access for a complimentary scoping review. I assess how many months or years need to be corrected, the volume and complexity of the issues, and any major risk factors. This allows me to define the cleanup period and prepare a fixed-price proposal based on the actual condition of your file, not a generic estimate. This is not a detailed diagnosis or cleanup plan. If you are not sure whether your books actually need cleanup, I may recommend a separate diagnostic Books Inspection to evaluate the condition of the file and determine whether cleanup is needed.
Once you approve the proposal, we move into Clean Up & Correct. You will receive a clearly organized list of Project Start Requirements explaining the access, information, and documents needed before work begins. After those requirements are complete, I investigate the problems more thoroughly while correcting the identified issues within the agreed cleanup period. I group any interim questions into a small number of clearly explained requests whenever possible to reduce unnecessary back-and-forth. Your timely help with information, documents, or access keeps things moving.
We finish with Review & Move Forward. You will receive a written Findings & Business Practices Review documenting the results of the engagement, unresolved items, action steps, and professional observations made during the cleanup, including notes prepared for your tax preparer. We will then meet by Zoom for up to 45 minutes to review the report, answer your questions, and discuss practical next steps. Each project covers a specific cleanup period defined before work begins. In most cases, the cleanup period begins with the first day after the end of the period covered by your most recently filed business income tax return.
I generally do not change periods that were used to prepare filed tax returns. Doing so could cause the information in QuickBooks Online to differ from the information reported on those returns.
Earlier periods may be considered when historical corrections are important, such as for year-over-year reporting, or when the QuickBooks Online file was not used to prepare the returns. Any work involving previously filed periods must be discussed and specifically included in the project scope. You may also need to consult your tax preparer about whether the corrections could affect prior filings.

During the complimentary scoping review, I assess how many months or years need to be corrected, the volume and complexity of the activity, and any major risk factors. A file with a year of light activity is a very different project from a file with two years of high transaction volume, multiple third-party software integration problems, and unresolved reconciliation issues. That review allows me to prepare a fixed-price proposal that reflects the actual condition of your file, not a generic package price.

This needs some coordination. Changes made while I am actively correcting a period can create conflicts or alter balances that are already under review. If you need to keep working in the file, let me know before the project begins so we can agree on which areas are safe to continue in and which should wait. If something comes up mid-project, reach out to me first so we are not working at cross-purposes.

Most cleanup projects are scheduled for completion within two to four weeks after I receive all Project Start Requirements. The exact timeframe depends on the scope and complexity of the work. Timely responses to interim requests help keep the project moving and prevent unnecessary delays. We will discuss the expected project window before work begins, and I will let you know if anything arises that is likely to affect it.
Pricing & Payment

It really depends. Cleanup pricing ranges from $3,000 for basic projects to $6,000 to $25,000 or more for complex reconstructions. The investment depends on the scope of corrections needed, the period of time to address, and your specific situation.
The $3,000 starting price is based on a typical 12-month cleanup. If you only need a partial period cleaned up, the price is adjusted accordingly.
After our initial consultation and complimentary scoping review, I will provide a detailed fixed-price proposal specific to your project.

Projects are paid in full before work begins. Your written proposal will spell out the fixed project fee and exactly what it includes, so there are no surprises and no hourly billing to track.
Scope & Results

I do not make entries simply to force an account to balance or make a report look right. I trace discrepancies to their source, compare the information in QuickBooks Online with available statements and supporting records, and correct the underlying transactions or account setup when appropriate.
I also review related accounts and reports that may have been affected by the same issue. If something cannot be verified or completed because information is missing, I identify it as unresolved rather than making an unsupported correction.

You will receive a written Findings & Business Practices Review documenting the results of the engagement, along with your QuickBooks Online file corrected for the cleanup period. This includes action items requiring your attention, documentation of anything that could not be completed, notes about individual accounts, information to share with your tax preparer, and guidance for keeping your books clean going forward.
We conclude with a WrapUp Review Meeting by Zoom, up to 45 minutes, where I walk you through the results, point out anything that still needs attention, and answer any questions before you move forward. The report and review meeting are informational and do not constitute tax, legal, or financial advice.

The goal of the cleanup is to give your tax preparer a more reliable QuickBooks Online file for the cleanup period included in your project. However, your tax preparer is responsible for determining whether the books are ready for tax preparation and may require additional information or tax-specific adjustments.
At the end of the cleanup, I will identify any unresolved items and provide notes or information that should be shared with your tax preparer. If your tax preparer has specific bookkeeping requests, please provide them as early as possible so I can determine whether they fall within the agreed project scope.
